Warm-up Times & Details

Pole Vault 60 minutes

All warm-ups will be on the first floor of the Ocean Breeze Athletic Complex. The warm-up space features a one lane 48" track measuring 160m and additional space inside and outside the loop for additional warmup activity. Hurdles and starting blocks will be available in the area. Cardio equipment, weights and other training equipment will be available for use. The warm-up room is open during all scheduled practices and two hours prior to competition each day. The warm-up area will remain open 30 minutes after the last scheduled event.

The warm-up area will serve as the warm-up and sports medicine area for athletes. Additionally, there will be space for stretching and jogging around the perimeter.

All meet medical services, except for emergency services, will be located on the first floor in multi-purpose room A. Personal Medical can set up in the open space in the warm-up area, as long as their setup does not impede athlete warmups.

Entry Requirements

**Pay special attention to all entry requirements. There are updates from previous years, which primarily follow changes in World Athletics requirements.**

  1. You must be a 2025 USATF member to enter the USATF Indoor Championships. If you do not have a 2025 membership, please complete a membership application first before attempting to enter the Championships.
  2. You must be a U.S. citizen and meet the eligibility requirements found in USATF Rule 1.1(a).
  3. Athletes may qualify for the 2025 USATF Indoor Championships with marks from any track in accordance with World Athletics requirements..
  4. All entry performances must be legal marks that have been achieved at a USATF-sanctioned meet or at a meet listed on the World Athletics Calendar.
  5. Marks must be achieved with electronic timing and legal wind readings (2.0m/s or under). On the World Athletics Toplists, you should select Only Electronic and Only Regular selected from the dropdown menus where applicable.
  6. There are no provisions for conversions of entry performances for any reason, although for select events, there are alternate events marks that can be used for qualifying (see standards). You may initially enter the Championships with a "NM" or "NT" and update your entry performance as needed.
  7. Shoes used to achieve entry performances must be included in the World Athletics Approved Shoe List. Athletes must provide the shoe model used in achieving the entry performance on the entry blank.
  8. USATF Rule 8 entrants shall enter as "NM" or "NT" if a valid entry performance is not available.
  9. Once properly entered, all athletes must complete the declaration process to affirm whether that athlete will or will not compete in each event they have entered.

Once properly entered, all athletes must complete the declaration process. In this process, you will:

  • Declare your intent to compete in each event endered
    And/Or

  • Scractch from events in which you have submitted an entry, but in which you no longer choose to compete.

​Each athlete or his/her representative must declare whether that athlete will or will not compete in each event they have entered.

  • Declarations will be conducted online. Online is the only method of declaration. No other form of declaration will be accepted.
  • Declarations will be accepted beginning Wednesday, February 12th at 12:01 a.m. PT.
  • Declarations will close on Thursday, February 13th at 11:59 p.m. PT.
  • There is no late declaration period (see declarations appeal process).
  • Athletes may declare at any time within the declaration period.
  • Athletes not declaring by the event declaration deadline will be Scratched from the event(s) entered.
  • Public Entries/Declarations web page will update hourly.

Declaration Appeals Process

  • No late declarations will be accepted. However, an appeals process will be available for those athletes who wish to declare after the close of declarations for their event.
  • Appeals for late declaration will be accepted from February 14th at 12:01 a.m. PT until February 14th at 11:59 p.m. PT.
  • Appeals may be filed by emailing Michael.Nussa@usatf.org. However, please note that submission of an appeal does not guarantee acceptance into the USATF Indoor Championships. Results of appeals will show on the Public Entries page. No other notice will be given.

Steps to Declare for the usatf indoor championships

  1. Login to your USATF Connect profile.
  2. Along the left-hand side, find and click on the National Championships module.
  3. Find your entry for the USATF Indoor Championships and click View.
  4. Click Athletes next to Event Overview

  5. On the far right of your entry, you will see three dots. Click these three dots and select Edit Declaration Status.

  6. On this screen, select Declared or Scratched for each of your events. Once you’ve selected your status, click the OK button to save.
  7. Your status will appear on the Public Entries page.
  8. If you want to update a qualifying mark, please email stats@usatf.org.

Entry & Declaration Status

Entry Status CateGories

  • Open - entry received but not yet in the verification process (all entries start in this category)
  • Qualified - mark has been verified and accepted for entry into the championships. Rule 8 entries show this status regardless of mark submitted.
  • Not qualified - mark does not meet automatic standard but does meet minimum standard and will be considered when fields are filled
  • Accepted – entry has been added to the field by the Sport Committee Chair. The Sport Committee Chair will accept a non-qualified mark to fill the field only if there is an insufficient number of athletes entered and declared who have met the qualifying standard for that event. In this case, the committee will go down the list of entered and declared athletes (that have not met the qualifying standard) only as deep as is needed to fill the field
  • Info needed - entry requires additional information or required documents (e.g., DOB verification, citizenship, name of meet director) are missing
  • Not accepted - entry not accepted; either mark does not meet minimum standard; was achieved outside the qualifying window; or at a meet not USATF sanctioned or not on World Athletics Calendar.
*Note: USATF Rule 11.3(b) concerning adding athletes to make a competitive field, and USATF Rule 8 concerning automatic qualifications, will be used.

Declaration Status Categories

*Note: All entrants should declare during the declaration period. This helps the seeding committee make decisions on "Accepting" marks that do not meet the qualifying standard for the purpose of filling the field for each event.

  • Unsubmitted - declaration not yet made (all entries start in this category)
  • Declared - athlete has declared his/her intent to compete and is in the field
  • Not Accepted – declaration not accepted; status will change to Declared if an entry has been added to the field by the Sport Committee Chair
  • Scratched - athlete has declared his/her intent to not compete in the events(s) entered

Steps to update affiliation

*Note: The password that is tied to an athlete’s USATF membership is no longer valid to log in to complete an entry/registration or to log back in to update marks, affiliations, and credential information for an entry/registration. After the entry/registration is completed, a confirmation email will be sent to the email address on file under the athlete's USATF Connect profile. This email will contain the password to log back into the entry/registration to update (affiliations, credentials, marks). The password is located under the heading "Managing Your Registration." This email confirmation with password is only sent to the email address that’s on file under the athlete's USATF Connect profile. Even though the entry system gives you the option to send a receipt/confirmation to an alternate email address, the password will only be sent to the email address on file under the athlete's USATF Connect profile.

Affiliation updates may be made up until CLOSE OF ENTRIES: Tuesday, February 11, 2025 at 11:59 p.m. PST.

Updating Affiliation
  1. View/update affiliation (USATF Registered Club, Military Branch, Corporate Sponsor*, or University) under USATF Connect profile before completing registration/entry.
  2. If the entry/registration was already completed before updating affiliation, log in to the USATF Connect profile with the athlete's USATF membership number and password associated with your membership. Then go to the affiliation area to view different affiliation options (i.e. USATF Registered Club, Military Branch, Corporate Sponsor*, or University).
  3. *USATF members do not have the option to update corporate sponsors under the profile. These must be verified and updated by a national office representative in our membership department at membership@usatf.org.

Updating Marks or Credential Information

To update marks, please reach out to stats@usatf.org.

Eligibility Requirements

Only citizens of the United States who are eligible to represent the U.S. in all levels of international competition are eligible to compete in Championship events. Dual citizens, please take note.

  • Female athletes must be 14 years or older on the day of competition. There is no age restriction for male athletes.
  • Athletes may enter an event(s) even if they have not yet met the qualifying standard for that event(s). However, athletes will not be permitted to compete unless they have:
    • Completed the entry process
    • Met the entry standard
    • Completed the declaration process
    • Have an updated athlete location form on file with USADA if you are in the Out-Of-Competition Drug-Testing Pool (OOC).
    • Proof of qualifying performance, if required, must be submitted to USATF no later than 5:00 p.m. PT, Monday, February 17, 2025. Submittals received after this date will not be accepted. Please contact stats@usatf.org for verification procedures.

All athletes must be 2025 members of USATF in good standing. USATF memberships may be purchased online or through your local Association Office.

Athletes must be bona fide members of a 2025 USATF club in order to represent a club. An athlete's current club affiliation can be viewed in his/her USATF Connect profile and as part of the online entry process. Athletes wishing to change affiliations can make such a request through their local USATF Association (note that this request must be made by the athlete - see Regulation 7 in the USATF Governance Manual, Section III). All club affiliations must be finalized by close of entries on Tuesday, February 11, 2025 at 11:59 p.m. PST. No club changes will be accepted after this date for the USATF Indoor Championships.

In addition to a club affiliation, athletes are able to represent one (1) corporate sponsor. This corporate sponsor must be a registered USATF Corporate Member and be part of the athlete's member profile. Corporate Membership applications can be obtained by sending an email to membership@usatf.org.

 

*Note: All sponsor affiliations must be finalized by close of declarations. No sponsor changes will be accepted after this date for the Indoor Championships.

Athletes wishing to represent a branch of the Armed Forces of the United States must be registered with the membership committee of their local USATF Association.

Athlete Introduction Information

Athletes competing in Finals of Championship Events may be asked to participate in formal athlete introductions. Time allocations will be accounted for with your final call time and warm-up time provided to you by the clerks. Final instructions for the introductions will be provided to you by an on-field coordinator. Athlete introductions will not disrupt warm-up times for athletes.

For finals of all running races, athletes should expect to proceed from final call “race ready” as they are introduced to the track. From the introduction, sprints will have time to set blocks and distance races will receive the information from the head starter.

For all field events, athletes will be formally introduced as a group prior to their field event warm-up time. At the completion of the warm-up time (typically ~5 mins before the event start time) athletes will be lined up at their event site and introduced in-stadium, competition will begin upon conclusion.

Throwing Ring Information

The throwing ring at the 2025 USATF Indoor Championships will be a steel-floated concrete ring. The landing surface is mondo track surface and only indoor implements are permitted to be used.

Implement Inspection

All throwing implements must be weighed prior to competition. Implements must be presented at the implement inspection area, located in the small cage near turns 3 and 4, NO LATER THAN 120 MINUTES (2 HOURS) PRIOR TO THE START OF THE EVENT.

Spikes

Only ¼ inch spikes will be allowed on the competition surface at Ocean Breeze. Appropriate spikes will be available for purchase through the USA Track & Field Merchandise set-up within the Ocean Breeze. Prohibited spikes include “Pins” and “Needle Spike Pins.”

Coaches Box Passes

Coaches box passes are available to field event competitors. Passes will be made available at first call to all competing athletes in the event, only an athlete will be able to receive the pass, and it is the athlete’s responsibility to provide his/her coach with this pass. To access Coaches Box seating, a Coach must have a Registered Coach Credential as defined in the Accreditation Guidelines and a Coaches Box pass for an event currently being contested. If one or both items are missing, individuals may be asked to leave the designated seating.

Locations of Coaches Boxes

  • High Jmp: Back or front straightway
  • Pole Vault: Back straightaway, in line with appropriate boxes
  • Horizontal Jumps: Front straightaway in line with standards
  • Throws: Next to the throws cage, adjacent to the ring

Athlete/Athlete Support Seating

Athlete/Athlete Support seating will be located in section 100 of the track in the corner of turn 4. This general admission seating area is open to all credentialed athletes and athlete support personnel. Credentials will not be accepted in reserved seating area.

Awards

A gold medal, emblematic of the Championships of the United States of America, will be given to the winner of each Championship event, a silver medal to second place, and bronze medals to third place.

Prize Money

For the 2025 USATF Indoor Championships, USATF will pay prize money to the first through fifth place finishers in each Championship event. The prize structure is as follows:

  • 1st - $6,000
  • 2nd - $4,000
  • 3rd - $2,500
  • 4th - $1,500
  • 5th - $1,000

Notes

  • Please make sure your contact information (email address and phone number) is up to date under your USATF Connect profile.
  • Athletes with remaining collegiate eligibility should check with their university compliance department to see if they are eligible to receive this prize money according to NCAA rules. If an athlete with collegiate eligibility is approved to receive prize money, the university compliance representative should reach out to USATF via email (Sariyu.Suggs@usatf.org) to provide details/approval/amounts the athlete is eligible to receive.
  • Athletes are eligible to receive prize money in more than one event.
    • Athletes who are eligible to receive prize money for this event are required to complete: o IRS Form W-9 Request for Taxpayer Identification Number and Certification: USATF will reach out to the eligible athlete to request this information via an electronic form (via Team Works), if there isn’t a form on file.
    • ACH (Direct Deposit Form) will also be a requirement: USATF will reach out to the eligible athlete to request this information via an electronic form (via Team Works), if there isn’t a form on file.
  • Athletes can expect to receive prize money payments within 90 business days after USATF receives finalized doping control results.

Please be aware prize money payments will be reported to the IRS as reportable income and are subject to federal, state, and local income tax. Since no taxes are being withheld by USATF, you may have a tax liability at the time you file your tax return, and you may want to consider setting aside some funds for this purpose. If the amount of reportable income including all stipends, prize money, etc. is $600 or more cumulative during a tax year, USATF will issue a 1099 NEC. Receipts for travel may qualify for deductions against this reported income. Please contact a tax advisor for further information. USATF is not offering tax advice, but recipients of USATF funding and benefits are advised to retain their own tax professionals to receive guidance regarding tax implications.

Travel Funding

An allocation of funds ($1,000) will be provided to the following athletes:
  1. Defending USATF Indoor Champion in each event, if entered, qualified, and declared
  2. The top three (3) ranked indoor performers during the qualifying window
  3. 2025 USATF Tier and TPP athletes

For these allocations, funds will be awarded to the top ranked athletes in the distances/disciplines being contested at the Championships and NOT FOR TIMES OR DISTANCES ACHIEVED IN ALTERNATE QUALIFYING DISTANCES/TIMES (i.e. rank in the 1500m, but not Mile). The only exception to this would be in the case of the allocation to the Defending Champion, who simply needs to be ENTERED, QUALIFIED, and DECLARED by the deadline in order to be allocated and, therefore, could use an alternate distance/time.

In order to be eligible for the USATF Indoor Championships travel allocations, an athlete must be a current USATF member in good standing; must have entered and achieved qualifying mark during the qualifying window (see Qualifying Information for these dates); and must be a citizen of the United States of America who is eligible to represent the U.S. in international competition. Dual Citizens, please take note.

Travel Funding Breakdown

An allocation of funds in the amount of $1,000 will be provided to athletes in each event who meet the funding criteria above. Athletes will only be eligible to receive travel funding if they are entered and declared by the respective deadlines. Athletes must compete in the 2025 USATF Indoor Championships to receive travel funding. Athletes who qualify for travel funding before the event will be approved for funding when they complete credentialing but must return the funds if they ultimately do not compete at the Championships.

Travel Funding Distribution

  • Athletes who qualify for pre-travel funding will receive their travel allocation via ACH (direct deposit). Funding will be approved when athlete’s check-in and complete credentialing and will be deposited into athlete’s (or other approved bank account) within 30 business days after the completion of the event. Please note the timeline will be longer for any newly completed financial forms or any discrepancies.
  • Athletes with collegiate eligibility should check with their university compliance department to see if they are eligible to receive this travel funding according to NCAA rules. If an athlete with collegiate eligibility is approved to receive funding, the university compliance representative should reach out to USATF via email (Sariyu.Suggs@usatf.org) to provide details/approval/amounts the athlete is eligible to receive.
  • Athletes who are eligible to receive travel funding for this event are required to complete:
