Credentials and Passes

Credential and Passes (RC, SP, WP)

Registered Coach “RC”, Warm-up Pass “WP”, and Stadium Pass “SP” credentials are designed to allow an athlete’s coach and/or personal support access to the warm-up area, athlete seating or practice track for the purpose of preparing for competition. Credentials are non-transferrable and each support person will only be allowed to receive one credential.

  • Individual must be 18 years of age or older to receive a credential.
  • Individual must be a current (2018) member of USA Track & Field.
  • Individual receiving the “RC” Registered Coach’s credential must also be a current (2018) member of USA Track & Field’s Coaches Registry Program, which now includes completing the Safe Sport training courses. **View the Registered Coach section below for more information on the application process.
  • Individuals receiving the "WP" Warm-Up Pass credential must also be currently listed on USATF's SafeSport list.
    **View the Warm Up Pass section below for more information on the process for receiving this credential. 

Credentials can be obtained at Credentialing/Packet Pick Up on-site for the following events:

  • 2018 USATF Junior Championships (Bloomington, IN)
  • 2018 USATF Outdoor Championships (Des Moines, IA)

 Athletes will have the following credential options for their support persons:
1. One Complimentary Credential Option (pick one of the following):

  • RC - Registered Coach - coach of record (warm-up area and stadium only)
  • WP - Warm-up Pass (no stadium access; warm-up area access only)
  • SP - Stadium Pass (stadium seating access only; no warm-up area access)

Each participating athlete may request one of the above options for his or her personal support by specifying the name of the individual designated to receive that credential on his or her on-line registration (entry form). After the on-line Registration closes, USATF will not be accepting any updates for registration via email. Athletes who still need to designate (add/update) coaches/athlete support names for credentials can complete this on-site. There will be a USATF verification station that can validate which credential option the coach/athlete support is eligible for.  

2. Second Credential Option for purchase (pick one of the following):

  • WP - Warm-up Pass (no stadium access; warm-up area access only)
  • SP - Stadium Pass (stadium seating access only; no warm-up area access)

There is a fee for the second credential option, which is in addition to USATF membership fee and/or background screen fees.

2018 USATF Junior Championships (Bloomington, IN):

  • $45 (3 Day Pass)

2018 USATF Outdoor Championships (Des Moines, IA):

  • $80 (4 Day Pass)

 Each participating athlete may request one of the above options for his or her personal support by specifying the name of the individual designated to receive that credential on his or her on-line registration (entry form). After the on-line Registration closes, USATF will not be accepting any updates for registration via email. RC - Registered Coach Credential (best option for coach)
All coaches designated to receive a “RC” credential must be a current (2018) member of USATF and must be a current member of the USATF Coaches Registry, prior to receiving a “RC” credential. Individuals must have completed and been approved (be listed on the USATF Coaches Registry) prior to their arrival in Bloomington, IN and/or Des Moines, IA. Only the individuals specified by participating athletes for this purpose will be allowed to receive an “RC” credential.  You will not have the option to sign up for the Coaches Registry on-site to obtain a coach credential. WP - Warm-up Pass Credential (best option for personal medical)
Personal support designated to receive a “WP” must be a current (2018) member of USATF and be currently listed on USATF's SafeSport list. Inclusion on the USATF SafeSport list requires individuals to submit an application at Coaches.aspx. The Coaches Registry will require you to:

  1. Be a current USATF member
  2. Complete the SafeSport training courses to be SafeSport trained. https://safesport.org/
  3. Pass the USATF criminal background screen through NCSI at a cost of $16.

Please renew or sign-up for a membership at the following link: http://www.usatf.org/Products---Services/Individual-Memberships.aspx. Only the individuals specified by participating athletes for this purpose will be allowed to receive a “WP” credential. There is no stadium access with this credential.
 
Stadium Pass Credential (best option for family member or friend)
Personal support designated to receive a “SP” must be a current (2018) member of USATF.  Please renew or sign-up for a membership at the following link: http://www.usatf.org/Products---Services/Individual-Memberships.aspx. Only the individuals specified by participating athletes for this purpose will be allowed to receive an “SP” credential. There is no warm-up access with this credential.

Any unauthorized person in possession of a credential and any unauthorized person in a credential-restricted area (the athlete warm-up areas, or other restricted zones) will be immediately escorted from the facility, the credential will be revoked, and the unauthorized person may be subject to discipline.

Credential distribution process on-site:
The Championship is a controlled access event. Admission to all practice, warm-up and competition facilities, including the athlete shuttle, athlete lounge and athlete/athlete support seating is by credential only.
Athletes must be declared for their event in order to receive a credential. Credentials must be worn for admittance to any area other than public areas.

  • Athletes must appear as “qualified” or “accepted” and “declared” on the “Status of Entries” page of the USATF website in order to receive a credential.
  • All athlete support persons must be designated to receive an athlete support credential by an athlete who is “qualified” or “accepted” and “declared” per the “Status of Entries” page.

In addition, the athlete must have checked in at credentialing prior to support person’s arriving to receive their credential. This ensures the athlete has made the necessary changes and/or validated the support person they want to receive this credential. Athletes and support persons will be required to show a photo ID to pick up their credential.

Eligibility Requirements

In addition to correctly entering the meet and having equaled or bettered the qualifying standard(s) during the stated qualifying periods, the following criteria must also be met:

  • Only citizens of the United States who are eligible to represent the United States in all levels of international competition under USATF and IAAF Rules, and who have met the published entry standards as stated elsewhere in this document are eligible to compete in these Championships.

  • Athletes who have questions concerning their citizenship, including dual citizens, should contact USATF's Legal Affairs Manager, Sarah Austin (Sarah.Austin@usatf.org).

  • Date of Birth (DOB) and/or Citizenship Verification

    • Athletes must be at least 14 years old on the day of competition but not turn 20 years old at any time in 2018. All entries must be accompanied by a copy of a legal document (passport or birth certificate) in order to verify date of birth and citizenship. If you have a valid passport at the time of entry, please use a copy of the information page of your passport as verification of citizenship and birth date. These copies will not be returned.
      You must Scan or FAX a copy of your passport or birth certificate, along with your 2018 USATF membership number, event, and championship name ("USA Junior Outdoor Track & Field Championships")  no later than June 1, 2018.

      • Scan and email copy as an attachment to: membership@usatf.org or,

      • Fax to USATF National Office at 1-800-833-1466 (with specific event details).

  • Athletes may enter an event(s) even if they have not met the qualifying standard for that event(s). However, athletes will not be permitted to compete unless they have:

  1. A 2018 USATF membership

  2. Completed the entry process

  3.  Met the entry standard by Sunday, June 10, 2018.

  4. Completed the declaration process

  • Proof of qualifying performance, if requested, must be submitted to USATF no later than 5:00pm ET, Thursday, June 1, 2018.  Submittals received after this date will not be accepted. Please contact stats@usatf.org for verification procedures.

  • All athletes must be 2018 members of USATF in good standing. USATF memberships may be purchased online or through your local Association office.

  • Athletes must be bona fide members of a 2018 USATF club in order to represent a club. An athlete's current club affiliation can be viewed in his/her membership profile and as part of the online entry process. Athletes wishing to change club affiliations can make such a request through their local Association (note that this request must be made by the athlete--see Regulation 4 in the USATF Governance Manual). All club affiliations must be finalized by close of declarations on Sunday, June 11th. No club changes will be accepted after this date for the USATF Junior Championships.

  • In addition to a club affiliation, athletes are able to represent one corporate sponsor. This corporate sponsor must be a registered USATF Corporate Member and be part of the athlete's membership profile. Corporate Membership applications can be obtained by sending an e-mail to membership@usatf.org. All sponsor affiliations must be finalized by close of declarations. No sponsor changes will be accepted after this date for the USATF Junior Championships.

  • Athletes wishing to represent a branch of the Armed Forces of the United States must be registered with the Membership Committee of their local USATF Association.

Entry Information

In order to enter and compete at the 2018 USATF Junior Outdoor Championships, you must:

  • Be a 2018 USATF member (USATF membership application).
  • Be a U.S. citizen.
  • Be eligible to represent the U.S. in all levels of international competition.
  • Have met the Eligibility Requirements and Qualifying Standards for the U.S. Championships.

Entry Status

To check the status of your entry, including declarations, visit the Status of Entries page. Athletes who are missing required documents or who need to provide information about their qualifying mark(s) will be listed on the status of entry page as "info needed" until such documents/information are received.

The entry fee for the Championships is $30 per athlete. Late entries will incur an additional $50 late fee charge per athlete (total late entry = $80.00). Note that these fees are entry fees and non-transferable and non-refundable.

  • Online entry is the only method of entry. No other form of entry will be accepted.
  • To enter online, you will be required to provide your 2018 USATF membership number (click here to retrieve your membership number if you do not know it).

Steps to Update: Affiliations/Marks/Credentials

The password that’s tied to an athlete’s USATF membership is no longer valid to log-in to complete an entry/registration or to log back in to update marks, affiliations, and credential information for an entry/registration.

After the entry/registration is completed a confirmation email will be sent to the email address on file under the athletes USATF membership profile. This email will contain the password to log back into the entry/registration to update (affiliations, credentials, marks).

The password is located under the heading "Managing Your Registration". This email confirmation with password is only sent to the email address that’s on file under the athlete USATF membership profile. Even though the entry system gives you the option to send a receipt/confirmation to an alternate email address, the password will only be sent to the email address on file under the athlete USATF membership. 

View the following steps on updating affiliations, marks, or credential information.

Updating affiliation:

  1. View/update affiliation (USATF Registered Club, Military Branch, Corporate Sponsor*, or University) under USATF membership profile before completing registration/entry.
  2. If the entry/registration was already completed before updating affiliation, log into the USATF membership profile with athlete USATF membership number and password associated with your membership. Then go to the affiliation area to view different affiliation options (i.e. USATF Registered Club, Military Branch, Corporate Sponsor*, or University).        
  3. Once it’s updated in the membership profile, then go back to entry/registration form and click on that tab that says “manage your registration”. Log in with email address (email on file under USATF membership profile at the time entry/registration was completed) and the password (that was provided in the confirmation email that was sent to that email address). Note that the password is NOT the password tied to accessing your USATF membership profile.
  4. *USATF members do not have the option to update corporate sponsors under the profile. These must be verified and updated by a national office representative in our membership department at membership@USATF.org.

    Updating Marks or credential information:
  1. Go to entry/registration form and click on tab that says “Manage your registration”.
  2. Log in with email address (email on file under USATF membership profile at the time entry/registration was completed) and the password (that was provided in the confirmation email that was sent to that email address). Note that the password is NOT the password tied to accessing your USATF membership profile.
  3. Then go the area you would like to update (i.e. marks, credentials (add-ons).
  4. Once all changes have been made, make sure you save changes before logging out of entry/registration.

Entry/Registration updates can be made up until close of entries: Wednesday, June 6, 2018.

Declaration Form and Instructions to Declare

Declarations will be based on the following schedule:

On-time (begins): Sunday, 6/10/18, from 12:01 a.m. – Monday, 6/11/18 by 11:59 p.m. PT (ends) - $30

Late petition by email ONLY: Tuesday, 6/12/18 from 9:00am – 1:00pm PT - $80

Steps to Declare for the USATF Junior Outdoor Track & Field Championships:

  1. Go to: Registration

  2. Click the tab along the top of the entry form labeled "Manage My Registration" or “Declare”.

  3. On the login screen choose how you will log in (as an "Individual Registrant", as a "Representative/Coach", or as a "USATF Club Administrator/Coach").

If you are logging in as an "Individual Registrant":

  1. Select "Individual Registrant" in the drop-down menu on the login screen.

  2. Enter your e-mail address (the one that's part of your USATF member profile).

  3. Enter the registration password that you received in your confirmation e-mail from the entry system (it's located at the bottom of the e-mail under the heading "Managing Your Registration"). If you don't have your confirmation e-mail, you can reset your registration password by clicking the "forgot your password" link on the login screen and following the on-screen instructions.

  4. Click the "Login" button.

  5. You will now be presented with a menu of choices; click the link labeled "Declare for your events".

  6. On the next screen, select "declare" or "scratch" for each of your events.

  7. If you want to update your qualifying mark, click the linked labeled "click to edit" next to the information you want to update.

  8. After you've made all your changes, scroll to the bottom of the form and click the "Save" button to save the changes.

If you are logging in as a "Representative/Coach", you will need to:

  1. Select "Representative/Coach" in the drop-down menu on the login screen.

  2. Enter your e-mail address (the one you entered on the payment screen when you registered your athletes and the one at which you received the registration confirmation e-mail).

  3. Enter the registration password that you received in your confirmation e-mail from the entry system (it's located in the e-mail under the heading "Managing Your Registration"). If you don't have your confirmation e-mail, you can reset your registration password by clicking the "forgot your password" link on the login screen and following the on-screen instructions.

  4. Click the "Login" button.

  5. On the next screen, click the link labeled "Manage declarations" in the box on the right side of the screen.

* F.A.T is the only method of timing acceptable for qualifying marks for events listed with an asterisk. Times submitted in hudredths of a second must be fully automatic times.

** A manual time may be used for qualifying in events with a double asterisk only if no fully automatic qualifying time exists for the individual in that event during the qualifying period. A manual time may not supercede any fully automatic qualifying time for an event.  Qualifying manual times, for eligible events, not already listed, are always the FAT qualifying time without the last zero. Manual times will be converted for seeding purposes using USATF Rule 76.

Meet Criteria

Criteria for a Meet/Event to be acceptable for qualifying for 2018 USATF (Senior) Championships and USATF Junior Championships.

In order for a mark from a meet or single event to be accepted for qualifying for the USATF T&F Championships, USATF Junior T&F Championships or U.S. Olympic T&F Trials – as well as for USATF to be able to validate the mark(s) to the IAAF for World Championships qualifying purposes, the following criteria apply:

  1. The meet/event must appear on an organization’s previously published calendar of events.

  2. Meets that are to be held in the first two (2) weekends of June, and which are not on an organization’s previously published calendar of events, must be reported to USATF [duffy.mahoney@usatf.org] or (317-713-4673) not later than Monday, May 21, 2018.

  • Doing so will permit the USATF staff member designated by the Sports Committee Chairs, to review the proposed meet/event.  If the meet/event were then approved, this would give sufficient time for meet information to be disseminated to as wide a range of interested athletes as possible.

  • Failure to adhere to this protocol will likely result in the performance(s) being disallowed for qualifying for these Championships.

  1. The meet/event must be sanctioned in advance by USATF or the Governing Body of another nation.  While they might not be sanctioned by USATF, high level collegiate and high school meets, such as a high school or college invitationals, championships, relay carnivals, etc., will be recognized as valid meets for qualifying provided all other criteria are met.

  2. The meet/event must be held on a legal facility as per USATF and/or IAAF rules.

  3. USATF certified or recognized officials must officiate at the meet/event.

  4. In the 100m, 200m, 400m, 100m hurdles, 110m hurdles and 400m hurdles, only marks made using FAT (full automatic timing to the hundredth of a second [.01]) will be accepted for QUALIFYING PURPOSES.  The provisions of USATF Rule 165 shall apply for video tape timing.

  5. In the short sprints (100m & 200m), short hurdles (100m & 110m), horizontal jumps (long jump & triple jump), a wind gauge must be used and reported.  A mark made with a wind reading exceeding 2.0 meters per second or higher will not be acceptable for qualifying.

  6. At least five (5) competitors must participate in each event.  All such athletes must be of the same gender, and may not be a mix of masters and/or youth athletes.

  7. In throwing events, all implements must be officially measured and certified according to USATF and/or IAAF rules.

  8. Mixed competitions for events inside the stadium are generally not acceptable.  However, in field events and races of 5000m or longer, mixed competition may be approved by the respective Sport Committee - this approval being needed in advance of the event.

  9. Trials-finals, qualifying-finals, rounds in running events, etc. must be run according to USATF and/or IAAF rules & regulations.  Duplicate events on the same day, unless following the World/Olympic same-day qualifying & finals format, will not be acceptable for qualifying purposes.

  10. Meet results for each jumping and throwing event, including field event recording sheet(s) and throwing implement verification sheets, may be requested and sent/faxed (317-261-0514) to the USATF National Office, attn: Duffy Mahoney.

  11. Meet results should always be faxed or e-mailed to:  USATF at [stats@usatf.org] and T&F News at [stats@trackandfieldnews.com].
