About Entry/ Declaration Status

Entry Status Categories 

  • open - entry received but not yet in the verification process (all entries start in this category)
  • qualified - mark verified and accepted*
  • info needed - entry requires additional information or required documents (e.g., DOB verification) are missing
  • accepted – entry accepted **
  • not qualified - mark not acceptable; reasons vary
  • not accepted - entry not accepted; reasons vary
  • updated - mark has been updated/changed and must be re-verified

* = qualifying mark is from an alternative event that also qualifies for the championship event
 
** Accepted – Athlete have not met the qualifying standard for your event. However, the Sport Committee will use the field size number only if there is an insufficient number of athletes entered who have met the qualifying standard for that event.  In this case, the committee will go down the list of entered and declared athletes (that have not met the qualifying standard) only as deep as is needed to fill the field.

Declaration Status Categories 

  • open - declaration not yet made (all entries start in this category)

  • declared - athlete has declared his/her intent to compete
  • pending - athlete has declared his/her intent to compete, but entry has an updated mark that must be verified or requires additional information (i.e DOB verification)
  • scratched - athlete has declared his/her intent not to compete or entry is "not qualified"

Eligibility Requirements

In addition to correctly entering the meet and having equaled or bettered the qualifying standard(s) during the stated qualifying periods, the following criteria must also be met:

  • Only citizens of the United States who are eligible to represent the United States in all levels of international competition and who have met the published entry standards as stated elsewhere in this document are eligible to compete in these Championships.
  • Athletes who have questions concerning their citizenship, including dual citizens, should contact USATF's Legal Affairs Manager, Sarah Austin (Sarah.Austin@usatf.org).
  • Date of Birth (DOB) and/or Citizenship Verification
    • Athletes must be at least 14 years old on the day of competition but not turn 20 years old during 2015. All entries must be accompanied by a copy of a legal document (passport or birth certificate) in order to verify date of birth and citizenship. If you have a valid passport at the time of entry, please use a copy of the information page of your passport as verification of citizenship and birth date. These copies will not be returned.
      You must Scan or FAX a copy of your passport or birth certificate, along with your 2015 USATF Membership number, event, and championship name ("USA Junior Outdoor Track & Field Championships")  no later than June 15, 2015.
      • Scan and email copy as an attachment to: membership@usatf.org or,
      • Fax to USATF National Office at 1-800-833-1466 (with specific event details).
  • Athletes may enter an event(s) even if they have not met the qualifying standard for that event(s). However, athletes will not be permitted to compete unless they have:
  1. A 2015 USATF membership
  2. Completed the entry process
  3.  Met the entry standard by the June 14, 2015.
  4. Completed the declaration process
  • Proof of qualifying performance, if requested, must be submitted to USATF no later than 5:00pm ET, Monday, June 15, 2015.  Submittals received after this date will not be accepted. Please contact stats@usatf.org for verification procedures.
  • All athletes must be 2015 members of USATF in good standing. USATF memberships may be purchased online or through your local Association office.
  • Athletes must be bona fide members of a 2015 USATF club in order to represent a club. An athlete's current club affiliation can be viewed in his/her membership profile and as part of the online entry process. Athletes wishing to change club affiliations can make such a request through their local Association (note that this request must be made by the athlete--see Regulation 4 in the USATF Governance Manual). All club affiliations must be finalized by close of declarations on Wednesday, June 17th. No club changes will be accepted after this date for the Junior Championships.
  • In addition to a club affiliation, athletes are able to represent one corporate sponsor. This corporate sponsor must be a registered USATF Corporate Member and be part of the athlete's membership profile. Corporate Membership applications can be obtained by sending an e-mail to membership@usatf.org. All sponsor affiliations must be finalized by close of declarations. No sponsor changes will be accepted after this date for the Junior Championships.
  • Athletes wishing to represent a branch of the Armed Forces of the United States must be registered with the Membership Committee of their local USATF Association.

General Entry Information/ Entry Form/Declarations

You must be a 2015 USATF member to enter the Championships. If you do not have a 2015 membership, please complete a membership application first. You must also be a U.S. citizen, be eligible to represent the U.S. in all levels of international competition and meet the eligibility requirements and qualifying standards for the U.S. Championships.

Athletes who are missing required documents or who need to provide information about their qualifying mark(s) will be listed on the status of entry page as "info needed" until such documents/information are received.

The entry fee for the Championships is $30 per athlete. Late entries will incur an additional $50 late fee charge per athlete (Total late entry=$80.00). All fees are non-transferable and non-refundable.

Online entries must be paid for by credit card or electronic funds transfer ("electronic check").

Declaration Process

Once properly entered, all athletes must complete the declaration process during the designated time. This process confirms your intention to compete in the Championships.

Declaration Instructions

  • Online is the only method of declaration. No other form of declaration will be accepted.
  • Each athlete or his representative must declare whether that athlete will or will not compete during the designated time.
  • Athletes not declaring by the declaration deadline will be scratched.
  • A Help Line is available for those who need help with the declaration process. For assistance call 317-713-4689 during normal business hours, 8:30 a.m. - 5:00 p.m. ET, Monday through Friday.
  • Petitions for Late Declarations
    • Petitions may be filed by emailing the following information to [Duffy.Mahoney@usatf.org]:
      • Athlete Name
      • Athlete Event(s)
      • Explanation for late declaration
      • Call back number (cell number preferred)
    • Athletes submitting a petition for late declaration will be assessed a $100 late declaration fee. Late declaration fees may be paid by credit card only. "Visa, the only card accepted by USATF."
    • Decisions on late declaration petitions will be acted upon by a special committee no later than 5:00 p.m. ET on Thursday, June 18, 2015.
    • Late declaration petition fees are non-refundable regardless of the decision of the committee.

Notes:
  1. The Sport Committee Chair may adjust the standards, where necessary, no later than forty-five days prior to the competition, based on received entries at that time. Therefore, early submission of an entry close to the standard is advised. 
  2.  The Sport Committee will use the field size number only if there is an insufficient number of athletes entered who have met the qualifying standard for that event.  In this case, the committee will go down the list of entered and declared athletes only as deep as is needed to fill the field. 

Qualifying Guidelines for Senior Championships:

  1. All qualifying performances for running events may be made on an indoor or outdoor track for the outdoor championships.  There are no allowances for altitude, nor for indoor facilities of differing size, banking or other configuration.
  2. Qualifying marks must be made in accordance with USATF Rule 149 and verifiable in one of the following:
    1. USATF or IAAF sanctioned events which prescribe to or exceed USATF completion rules
    2. Events at college meets which prescribe to or exceed USATF competition rules.
    3. High school meets, but not dual or triangular meets, which prescribe to or exceed USATF competition rules.
    4. Meets or events which meet a minimum for competitiveness as set by the Chair of the Sport Committee and determined to be valid by the USATF National Office staff member responsible for verification.
  3. This is an annual Championship which requires qualification within a specific time period.  Qualifying marks, be they from indoor or outdoor competitions, must be attained on or after Wednesday, June 25, 2014 through Sunday, June 14, 2015.  Qualifying marks for the 10,000-meters, Race Walk, and Combined Events must be attained on or after Thursday, January 2, 2014 through Sunday, June 14, 2015.
  4. *    F.A.T. is the only method of timing acceptable for qualifying marks for events listed with an asterisk.  Times submitted in hundredths of a second, must be fully automatic times.
  5. **  A manual time may be used for qualifying in events with a double asterisk only if no fully automatic qualifying time exists for the individual in that event during the qualifying period.  A manual time may not supersede any fully automatic qualifying time for an event.
    1. Women - Qualifying manual times, for eligible events, are the F.A.T. qualifying time without the last zero for events 200m and longer; the F.A.T. time minus 0.14 for events 400m - 1 Mile.
    2. Men - Qualifying manual times, for eligible events, not already listed, are always the F.A.T. qualifying time without the last zero.
  6. Manual times will be converted for seeding purposes using USATF Rule 166.
  7. All performances are subject to verification by USATF National Office representative and/or USATF statistician/ marks verifier.
  8. Wind aided marks (those that exceed 2.0 meters per second) are not acceptable for qualifying for the National Championship.
  9. For the Junior Championships, for the 5,000m, 10,000m and 3,000m steeplechase events, petitions will be accepted for entry into these events using qualifying times from alternate distances (e.g. Use of a 1,500m qualifying time for a petition to run the 5,000m).
  10. Junior men's implement weights: 1.75k Discus, 6.00k Shot, 6.00k Hammer
  11. Junior men's hurdle heights: 39"

Steps to Update: Affiliations/Marks/Credentials

Note: The password that’s tied to an athlete’s USATF membership is no longer valid to log-in to complete an entry/registration or to log back in to update marks, affiliations, and credential information for an entry/registration.  After the entry/registration is completed a confirmation email will be sent to the email address on file under the athletes USATF membership profile.  This email will contain the password to log back into the entry/registration to update (affiliations, credentials, marks).  The password is located under the heading "Managing Your Registration".  This email confirmation with password is only sent to the email address that’s on file under the athlete USATF membership profile.  Even though the entry system gives you the option to send a receipt/confirmation to an alternate email address, the password will only be sent to the email address on file under the athlete USATF membership. 

View the following steps on updating affiliations, marks, or credential information.

Updating Affiliation:

  1. View/update affiliation (USATF Registered Club, Military Branch, Corporate Sponsor*, or University) under USATF membership profile before completing registration/entry.

  2. If the entry/registration was already completed before updating affiliation, log into the USATF membership profile with athlete USATF membership number and password associated with your membership. Then go to the affiliation area to view different affiliation options (i.e. USATF Registered Club, Military Branch, Corporate Sponsor*, or University).        
  3. Once it’s updated in the membership profile, then go back to “manage your registration” by logging in with the password that was sent on the email confirmation after the entry/registration was complete.  Then you will see the option to select your correct affiliation. 

*USATF members do not have the option to update corporate sponsors under the profile. These must be verified and updated by a national office representative in our membership department at membership@usatf.org.

Updating Marks or credential information:

  1. Go to entry/registration form and click on tab that says “Manage your registration”.

  2. Log in with email address (email on file under USATF membership profile at the time entry/registration was completed) and the password (that was provided in the confirmation email that was sent to that email address). Note that the password is NOT the password tied to accessing your USATF membership profile.
  3. Then go the area you would like to update (i.e. marks, credentials (add-ons).
  4. Once all changes have been made, make sure you save changes before logging out of entry/registration.

Entry/Registration updates can be made up until close of entries: Monday, June 15, 2015.

Meet Criteria

Criteria for a Meet/Event to be acceptable for qualifying for USATF National Championships or Olympic Trials:

In order for a mark(s) from a meet or single event to be accepted for qualifying for the USATF Indoor or Outdoor Championships, USATF Junior Championships or U.S. Olympic Trials for track & field, AND for USATF to be able to verify to the IAAF and various track & field ranking agencies the validity of the mark(s) for Olympic Games or IAAF World Championships qualifying purposes, the following criteria apply:

  1. The meet/event must appear on an organizations’ previously published calendar of events. 
  2. The meet/event must be sanctioned in advance by USATF or the National Governing Body of another nation.  And while not sanctioned by USATF, higher level collegiate and high school meets - such as a high school or college invitational, championships, relay carnivals, etc. – will be recognized as valid meets for qualifying.
  3. The meet/event must be held on a legal facility per USATF and/or IAAF rules & regulations.
  4. USATF certified or recognized officials must officiate the meet/event.
  5. In the 100m, 200m, 400m, 100m hurdles, 110m hurdles and 400m hurdles, only marks made using FAT (full automatic timing to the hundredth of a second [.01]) will be accepted for QUALIFYING PURPOSES.
  6. In throwing events, all implements must be officially measured and certified according to USATF and/or IAAF rules.
  7. In the short sprints (100m & 200m), short hurdles (100m & 110m) and horizontal jumps (long jump & triple jump) a wind gauge must be used and reported.
  8. At least five (5) competitors must participate in the event.
  9. Trials & finals, qualifying and finals, rounds in running event, etc. should be run according to USATF and/or IAAF rules & regulations.  Duplicate events on the same day, unless they follow the World/Olympic same-day qualifying &finals format, will not be acceptable for qualifying purposes.
  10. Meet results, including all field event recording sheet(s) and throwing implement verifications sheets, may be requested to be sent/faxed (317-261-0514) to the USATF National Office, attn:  Duffy Mahoney, if verification is needed.
  11. Meet results should always be faxed or e-mailed to:  USATF at [stats@usatf.org] and T&F News at [stats@trackandfieldnews.com].

# Meets that are last-chance in nature, or not on an organization’s calendar of events, must be reported to USATF at duffy.mahoney@usatf.org or (317-713-467) not later than three full weeks from the first day/date of competition of those Championships. Doing so will permit the USATF staff member designated by the Sports Committee Chairs, to review the proposed meet/event.  If the meet/event were to be approved, this would allow sufficient time to disseminate meet information to as many interested competitors as possible.  Failure to adhere to this protocol will likely result in the performance(s) being disallowed for qualifying purposes.
