Nominations for USATF Officers and Long Distance Running Division Chair Changes in Elections -- please read carefully Elections The United States Olympic Committee (USOC) has mandated that USATF restructure its Board of Directors effective at this year's annual meeting. The USOC has mandated that the Board be severely reduced in size, and that the Board's officers be elected by and from the Board's membership. As a result of this mandate, legislation will be introduced at the Opening General Session of the Annual Meeting reducing the size of the Board from 29 to approximately 15 individuals, and providing that the Board select the Vice President, Secretary and Treasurer by and from its members. The delegates to the Annual Meeting will continue to elect the President, who will serve as Chairman of the Board. As required by USATF Bylaws Article 9-F-2, the Nominations Subcommittee of the Organizational Services Committee has sent you this Request for Nominations for the offices of USATF President, Vice President, Secretary and Treasurer for elections at the 2008 Annual Meeting. Nominees must be members of USATF in good standing. Members of the three sport committees making up the Long Distance Running Division will elect the Long Distance Running Divisional Chair. PLEASE BE ADVISED THAT WE ANTICIPATE THAT THE ELECTION FOR PRESIDENT WILL TAKE PLACE AS SCHEDULED, BUT THAT THE ELECTIONS FOR VICE PRESIDENT, SECRETARY AND TREASURER WILL BE RENDERED MOOT AND NOT TAKE PLACE IF THE USOC-MANDATED LEGISLATION IS ENACTED AT THE OPENING GENERAL SESSION. Eligibility For USATF Officer, per Bylaws Article 10-A: No individual may be an officer of USATF who is also an officer of another national governing body, and per Bylaws Article 9-F: Officers and elected division chairs shall be elected to four-year terms at the Annual Meeting in each year in which the Summer Games are scheduled to be held. (Subject to change at this year's annual meeting.) Nominators and Seconders for USATF Officers Per Bylaws Article 9-F-2-b: Each candidate may have up to a maximum of five (5) nominators. The nominations must be collectively seconded by at least ten (10) and no more than twenty (20) other members of those nominating constituencies listed above, and include the written approval of the nominee. Nominators and Seconders for Long Distance Running Division Chair Per Bylaws Article 9-F-1: Nominators and seconders must be within the division. Per Bylaws Article 9-F-2-b: Each candidate may have up to a maximum of five (5) nominators. The nominations must be collectively seconded by at least ten (10) and no more than twenty (20) other members of those nominating constituencies listed above, and include the written approval of the nominee. Pre-Annual Meeting Nominations Activity By Monday, August 4 (120 days before the Meeting begins), the Nominations Subcommittee of the Member Services Committee will have nominations information and forms distributed to the persons and groups listed. The forms may be photocopied for your convenience.
By Saturday, September 27 (60 days before the Meeting begins), nominations are due back to the Chair of the Nominations Subcommittee (they must be received in the National Office by Monday, September 29). Send the completed forms to Nominations Subcommittee, c/o Sherry Quack, USA Track & Field, 132 East Washington Street, Suite 800, Indianapolis, Indiana 46204. In order to make the deadline, nominations may be faxed to Sherry at 317-261-0514. Note: Faxes must be legible. By Monday, November 3 (30 days before the meeting begins), the subcommittee shall prepare a nominations report listing all eligible candidates in alphabetical order, without indicating preference, and circulate it to all nominees and all nominating constituencies listed above. The report will also be included in each delegate's package and shall contain a statement provided by each candidate. Annual Meeting Nominations and Elections Activity At the Annual Meeting, further nominations may be submitted to the registration desk prior to the scheduled start of the First General Session on Thursday, December 4 and must be on the standard nomination form. This requirement includes the maximum of five (5) nominators and collectively at least ten (10) and no more than twenty (20) seconders. A committee member will be assigned to collect the nominations prior to the First General Session. First round balloting shall take place on Friday, December 6 from 7:00 a.m. - 12:30 p.m. Results of elected persons and still contested positions will be posted at 1:00 p.m., or as soon as possible. Bylaws Article 9-F-4-e governs protests. Second round balloting, if necessary, shall take place on Friday, December 6 from 3:00 p.m. - 6:00 p.m. Results will be posted by on or before 7:00 p.m. or as soon as possible.
