JANUARY 26, 2008 MINUTES

 

The winter meeting of Southern Association USATF was held Saturday, January 26, 2008, at Southwest Mississippi CC, in Summit, MS.  The meeting was opened at 9: a.m. with a prayer by  Chaplin, Burnett King.

ROLL CALL

 

Roll was called and it was noted we had only 10 clubs in attendance .  This was not a quorum, therefore this will be an informational meeting.

 

WELCOME

 

We were welcomed to the campus by Oliver Young, President of SWCC.  He pledged his help and full support for the Association J.O. to be held on this campus.  Men’s Track & Field coach, Charles Williams also welcomed us.

 

AGENDA

 

A motion was made and secondedto accept the agenda as presented.  The motion passed.

 

MINUTES/SECRETARY’S REPORT

 

Minutes of the previous meeting were provided as attendee’s arrived.  After review they were approved with the changes of the name of the May10, 2008 meet from Developmental to Invitational, May 17, 2008 meet from Developmental to Invitational and May 24, 2008 meet from Invitational to Feliciana Classic.

 

TREASURERS REPORT

 

This report was reviewed.  The graph provided a very accurate report of our finances.  The report was approved.  The Treasurer also reminded all Officers and Committee Chars that they must submit a budget in order to be reimbursed for expenses.

 

OFFICERS & COMMITTEE REPORTS

 

President Newton thanked everyone for their cooperation and support this past year. He emphasized that we stall have a long way to go.

 

Budget & Audit reported that we MUST become better stewards of our finances.  In order to do so all officers and committee chairmen must turn in a budget  as stated by the Treasurer.

 

UNFINISHED BUSINESS

 

National Convention

 

A packet of Convention reports was given to all in attendance.  Each delegate was asked to give a quick overview and answer any question concerning their report.

 

USATF 2008 SCHEDULE

 

Because of scheduling problems arising from the Olympic Trials we must change the dates of out Association J.O. from the weekend of June 26-29 to the weekend of June 19-22.  The other alternate date was July 5-4.  A motion was made and seconded to accept the June 19-22 date.  The motion carried,

Dennis Groll reported on the growth of the Cross Country Championship.  Every year we have held it in Monroe, it has grown.  We are getting many runners from the Alexandria area.  Dennis asked that we show some support for the road race in Alexandria in February to try to get that group to become members.

 

President Newton express a desire to raise money for the association by producing a program booklet for the Association Championship.  He would ask each club to be responsible for a certain amount of ads.

 

INDOOR ZONAL/REGIONAL CHAMPIONSHIP

 

President Newton reported that when he contacted the Meet Director of those meets he refused to pay.  Newton talked to an attorney about collecting and was advised that since we did not have a SIGNED contract it was his word against ours. In essence we are STUCK.

 

PRESIDENTS AWARDS

 

President gave awards from the summers to the coaches to give to their athletes.

 

BACKGROUND CHECKS

 

Keith Johnson reported that he would soon be sending info to all as to how to log on to TCLogic for your Background screening.  He will be the felicitator only.  He will only see list of Cleared Coaches.  The ones not cleared will receive their own notice directly.

We must get this done this year in order to be certified to vote in next years convention.

NEW BUSINESS

The following will be the committee assignments for the Vice Presidents.

1st Vice President—High Performance, Men & Women Track & Field, Race Walking,

LDR

 

2nd Vice President—Law & Legislation, Rules, Officials, Budget & Finance

 

3rd Vice President---Coaches Education, Athletes for the Disabled, Developmental Group

 

Jackie Callender---General Competition Division

 

President reminded all of the part they must play in our Plan for Improvement,  He also reminded us to check for grants available for different programs.

 

NEXT MEETING

 

The next meeting will be held in Baton Rouge on Saturday August 16, 2008.  The site to be announced.  At this meeting we will have the election of officers.
